Job Description

The Arts and Culture Events Coordinator is a dynamic role dedicated to the planning, implementation, and growth of premier cultural and educational programming. Reporting to the Arts & Culture Director, the Coordinator supports a robust year-round calendar that includes author presentations, film screenings, intellectual lectures, and community service initiatives.

This role is instrumental in the execution of the renowned Palm Beach Jewish Film Festival and plays a vital part in cultivating community leadership and donor engagement. The ideal candidate is a highly organized professional who excels at managing logistics while providing an exceptional experience for members and guests.

Essential Duties & Responsibilities:

* Program Operations & Event Management Execution: Support the coordination of diverse programming, including the Book Festival, Film Festival, recitals, workshops, and adult enrichment programs (e.g., Timely Topics).

* Film Festival Logistics: Oversee operational components of the Palm Beach Jewish Film Festival, including volunteer management, vendor relations, and hospitality for off-site screenings.

* Guest Relations: Manage comprehensive hospitality for guest speakers and artists, including travel arrangements, lodging, and on-site requirements.

* Production: Develop essential event collateral, including run-of-show documents, digital presentations, signage, and volunteer guides.

* Facility Coordination: Oversee room scheduling, Zoom webinar management, and physical check-in procedures for both in-person and virtual attendees.

* Community Engagement & Leadership
Relationship Management: Act as a primary liaison between participants, faculty, artists, and community partners.

* Program Evaluation: Monitor participation trends and gather feedback to continuously enhance program quality and community impact.

* Cross-Departmental Collaboration: Work alongside other JCC departments to align programming goals and maximize audience reach.

* Philanthropy Support: Assist in securing community sponsorships and managing donor appreciation initiatives.

*Member Relations & Administration Customer Excellence: Provide high-level service to members and the community via phone and email.

* Registration Oversight: Manage program registrations, troubleshoot technical issues, and maintain accurate participant and donor databases.

* Financial Stewardship: Process invoices and payment requests, manage vendor quotes, and ensure rigorous record-keeping in compliance with grant requirements.

* Committee Support: Facilitate Book and Film Festival committee meetings by managing RSVPs, agendas, and formal minutes.

* Marketing & Communications Digital Outreach: Draft compelling social media and email copy to drive event attendance and engagement.

* Collateral Distribution: Ensure marketing materials are current and prominently displayed across all JCC physical and digital platforms.

Qualifications & Requirements:

* Education: Bachelor’s degree preferred, or equivalent professional experience.
* Experience: Minimum of 3+ years in program coordination, arts/culture administration, or community engagement.
* Communication: Exceptional written and verbal communication skills; ability to engage with high-level donors and stakeholders.
* Technical Proficiency: Expert knowledge of Microsoft Office (Excel, Outlook, Word), Canva, and virtual meeting platforms (Zoom/Teams).

* Logistics: Must have reliable transportation for travel between JCC locations and the flexibility to work evenings, weekends, and off-site events as the program schedule dictates.
